3. Purpose of Processing Personal Data

The legal basis for maintaining the register is a customer relationship, consent, and legitimate interest.

Purpose and use of the register / processing of personal data:

The purpose of processing personal data is to manage, maintain, develop, analyse and compile statistics related to customer and partner relationships of Avatars Intelligence Oy, as well as communication, marketing, and the collection of research data for planning and developing services and business operations. We also collect information about visitors to our websites and social media channels for development, customer service and sales purposes.

We process data based on legitimate interest, for example regarding event registrations, content downloads and community memberships. One purpose of such processing is direct marketing. Based on legitimate interest, we are able to provide customers with relevant content, organise events, market services and manage personal data.

Our objectives include providing information, improving accessibility, service and support, facilitating information search and the purchasing process, and creating profiles for advertising relevant services.

4. Personal Data Stored in the Register

The customer register contains the following data:

  • Name
  • Position/title
  • Company/organisation
  • Business ID (Y-tunnus)
  • Organisation's postal address
  • Email address
  • Phone number
  • Any other information provided by the individual related to their job role and organisation
  • Information about services of interest
  • Offered and purchased products and services

For user and web traffic data, username and IP address are recorded. For conversations with virtual assistants, conversation history may be stored. For job applications, information provided by the applicant in their application and in the recruitment process is stored.

We restrict the collection and processing of data only to necessary information. Unnecessary and outdated data is removed. The company does not process sensitive personal data. The processing of personal data is not likely to result in a high risk.

5. Rights of the Data Subject

Right of access

The data subject may review the personal data stored about them.

Right to rectification

The data subject may request the correction of inaccurate or incomplete personal data concerning them.

Right to object

The data subject may object to the processing of personal data if they believe the data has been processed unlawfully.

Right to prohibit direct marketing

The data subject has the right to prohibit the use of their data for direct marketing purposes.

Right to erasure ("right to be forgotten")

The data subject has the right to request deletion of personal data if processing is no longer necessary. We will process the deletion request and either delete the data or provide a justified reason why the data cannot be deleted.

It should be noted that the data controller may have a legal or other right not to delete the requested information. The data controller is obliged to retain accounting records for the period defined in the Accounting Act (Chapter 2, Section 10), i.e. 10 years. Therefore, accounting-related material cannot be deleted before the retention period has expired.

Withdrawal of consent

If the processing of personal data is based solely on consent (and not, for example, on a customer relationship or membership), the data subject may withdraw their consent. You can unsubscribe from marketing communications by

  1. following the opt-out instructions in the marketing message or
  2. contacting the contact person.

The data subject has the right to request that we restrict the processing of disputed data until the matter has been resolved.

6. Regular Sources of Data

Personal data stored in the register is obtained from the data subjects themselves, messages sent via websites, email, phone calls, social media services, agreements, customer meetings, and other situations where the customer provides their information.

Personal data may also be collected and updated from public registers and data sources, private registers, and possibly from third-party data collectors as well as communication and marketing partners.

7. Regular Disclosures of Data

Personal data is generally not disclosed outside Avatars Intelligence Oy for marketing purposes. If we use external service providers (such as a newsletter system), we ensure that the service provider complies with data protection legislation.

8. Retention Period

Personal data is mainly processed as long as the customer relationship is valid or contractual obligations require. When personal data is processed on another lawful basis, such as legitimate interest, data is retained for as long as necessary to fulfil the purpose of the processing.

9. Processors of Personal Data

Personal data is processed by the data controller and its employees. We may also partially outsource personal data processing to a third party, in which case we ensure through contractual arrangements that personal data is processed in accordance with applicable data protection legislation and otherwise appropriately.

10. Transfer of Data Outside the EU/EEA

As a rule, personal data is not transferred outside the EU or the European Economic Area. If data is transferred outside the EU or the EEA, we ensure an adequate level of protection, including by agreeing on confidentiality and processing matters in accordance with legal requirements.
